"Did You Know?" Series, Episode 7: Certification Manager

Within Spira, you may have seen or heard of a screen called “Hockey Card”. This is part of the Certification Manager feature. Similar to a hockey card, it shows all of the important facts you need to know about a person at a quick glance.

What is a certification manager?

The Certification Manager feature within Spira’s ORP® provides customers with a digital home for their personnel’s certifications. It enables a supervisor, or Spira user, to quickly view all of the personnel’s details and credentials, whether it be a driver’s license, a first aid certification, safety training, etc.

Does it only track specific types of certifications?

Of course not. The flexibility that is found in Spira’s configurations extend to the Certification Manager. As part of this feature, there is a Certificate Form Builder. This allows the system admin to configure every type of certificate that the company wants to track along with all of the attributes that would be needed per certificate type.

What happens when a certificate expires?

Expiry dates are required to be captured on all certificates. For each certificate type, a notification can be configured to be sent X days before the expiration date to the designated recipient(s) of the notifications. This is to serve as a reminder that training or recertification is needed.

How can this help ensure the right people are assigned to a job?

If there are certain certifications required for a job, it can be specified on the job itself during the creation of the job in Spira. Then when using the Job Manager / Resource Planner features to assign resources to the job, there are visual indicators to indicate whether the resource has all of the required certifications or not. The system does not prohibit the assignment to an “unqualified” resource.

How does this feature extend to field tickets?

For tickets that are configured as forms, they can be configured to require specific certifications. Meaning the field personnel/driver or user that is creating the ticket must have a valid corresponding certificate on file in order to proceed, else the system prohibits them from working those ticket types.

From the back office view via the Certificate Manager screens, a list of all tickets and their details assigned to that resource can be found in the Ticket Details tab.

Can field personnel access their certificates when needed?

Yes. A Certificate job can be configured and automatically created for each person with digital copies of their current certificates attached. These jobs would be dispatched and kept on the user’s device. In a situation where proof of certification is needed on a job site, the user can quickly pull up the needed certificate.
